Choosing the Right Tech Stack for Custom Business CRMs

Off-the-shelf CRMs like Salesforce, HubSpot, and Zoho are powerful — but they're built for the median use case, not yours. Businesses with unique workflows, complex data relationships, or strict data-residency requirements often hit a ceiling on what commercial CRMs can do, and the customisation costs to work around those limitations can exceed the cost of building something purpose-built.

When to Build vs. Buy

The build-vs-buy decision should be driven by three questions: Does the off-the-shelf product fit at least 80% of your core workflows out of the box? Is the customisation gap solvable with standard API integrations? Will the licensing cost scale proportionally with your growth without punitive per-seat pricing?

Frontend: Next.js App Router

Next.js with the App Router is the default choice for custom CRM frontends in 2026. Server Components eliminate unnecessary client-side data fetching. Built-in image optimisation and route-level caching keep the dashboard fast even on complex data grids.

Node.js remains the most pragmatic backend choice when the frontend is JavaScript/TypeScript — shared types, shared validation schemas, and shared utility functions reduce duplication significantly. For internal APIs where the client and server are owned by the same team, tRPC provides end-to-end type safety without a code generation step.

For external APIs (webhooks from WhatsApp, Stripe, or other integrations), a conventional REST layer with Express or Fastify is more appropriate. Both can coexist in a monorepo without friction.

Database: PostgreSQL

PostgreSQL is the right choice for the vast majority of CRM data models. Its relational model handles the complex joins inherent in CRM data (contacts → companies → deals → activities → communications) with ACID guarantees that NoSQL databases cannot match. JSONB columns provide the schema flexibility needed for custom fields without sacrificing query performance.

  • Full-text search via tsvector for contact and note search across millions of records
  • pg_cron for scheduled background jobs (stale deal alerts, report generation)
  • Logical replication for read replicas to separate dashboard query load from write traffic

Cloud Hosting: Vercel + Railway or AWS RDS

For most custom CRM projects, Vercel handles the Next.js frontend and API routes (serverless) while Railway or Render hosts the PostgreSQL database and any long-running Node.js workers. This combination minimises DevOps overhead while providing sufficient scale for teams up to a few hundred concurrent users.

For enterprise deployments requiring strict data residency, VPC isolation, or compliance certifications (SOC 2, ISO 27001), AWS with RDS PostgreSQL, ECS for Node.js workers, and CloudFront in front of the frontend is the proven production architecture.
